About The Australian Federal Police (AFP)

  • The AFP’s role is to enforce Commonwealth criminal law, contribute to combating organised crime and to protect Commonwealth interests from criminal activity in Australia and overseas. The AFP is Australia’s international law enforcement and policing representative, and the Government’s chief source of advice on policing issues. The AFP works closely with a range of other law enforcement and government agencies at state, territory, Commonwealth and international levels, enhancing safety and providing a secure regional and global environment

About the position :

  • With general direction, the AFP Office Administrative Assistant, provides administrative support to the AFP Jakarta Office, as well as the Jakarta Centre for Law Enforcement Cooperation (JCLEC), and contributes to the efficient and effective running of the two offices.

Key responsibilities of the position include but are not limited to:

  • Provide administrative support to AFP Jakarta and JCLEC staff, including diary management, email prioritisation, managing telephone calls, arranging appointments and course management support.
  • Respond to general enquiries from government officials, the Indonesian National Police and Foreign Law Enforcement representatives.
  • Prepare routine correspondence and assist with coordination of courses, briefings and reports.
  • Translate and interpret documentation between Bahasa Indonesia and English as required.
  • Contribute to the management of visits and events, including event planning, hotel arrangements, catering, transport and logistics.
  • Develop and maintain relationships with the JCLEC and AFP International Command and external stakeholders.
  • Maintain a corporate database of contacts and ensure the efficient operation of JCLEC and AFP record management systems.
  • Coordinate travel arrangements for AFP staff in Jakarta and Semarang including arranging travel, transport logistics and acquittals.
  • Provide general administration support for AFP staff in Jakarta, including assistance with management and acquittal of representation funds

Qualifications/Experience:

  • High-level written and oral communication skills in both English and Bahasa Indonesia.
  • Sound information technology skills, including proficiency in the Microsoft Office suite of applications and experience working with electronic databases
  • Proven experience and skills in providing corporate support and/or general administrative work is highly desirable.
  • Experience in working with law enforcement agencies is highly desirable.
  • Knowledge of capacity building programs and event management is also highly desirable.
  • Demonstrated ability to develop and maintain a range of contacts with national and provincial government agencies, non-government organisations and other relevant local and international organisations, is desirable

2. Consular, Passport, and DAP Officer

About The Department of Foreign Affairs and Trade :

  • The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas. The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

About the position :

  • The Consular, Passport and DAP Officer provides consular and passport services to Australian Citizens in East and Central Java and is responsible for developing relationships with stakeholders. This position involves frequent overnight travel outside Surabaya; sometimes at short notice. The occupant will be rostered to hold an out-of-hours duty phone part of each month, to respond to consular emergencies. The occupant also manages the consulate’s Direct Aid Program of small grants to community groups.

Key responsibilities of the position include but are not limited to:

  • Manage and undertake the provision of consular, passport and notarial services to Australian citizens in accordance with relevant Australian legislation and guidelines. This includes offering timely advice, reporting on cases, and drafting written correspondence.
  • Manage complex consular cases and provide practical assistance, including in cases of arrests/detentions, hospitalisations, medical evacuations, deaths, and whereabouts of Australian citizens as well as participate in consular visits to hospitals, morgues, detention centres, prisons, and other service providers.
  • Manage passport services to Australian citizens including client interviews, processing applications, financial transactions, providing advice and managing casework.
  • Develop and maintain effective working relationships with local authorities
  • Assist the Australian Consulate-General’s crisis management planning and emergency response during crises.
  • Manage the consulate’s Direct Aid Program of small grants to community groups.
  • Support other roles during Public Diplomacy events, and during High Level Visits.
  • Provide backup support during periods of absence and perform other duties as directed.

Required Qualifications/Experience/Knowledge/Skills:

  • Excellent customer service skills with sensitivity when dealing with complex queries
  • Ability to maintain high levels of confidentiality about clients, including from colleagues
  • High level of proficiency (oral and written) in English, particularly understanding different Australian accents
  • Ability to deal non-judgementally with clients from different backgrounds
  • Experience in the use of Microsoft software, e.g. Outlook, and SAP would be an advantage
